What’s new with SystemOne

We’re busily working on InvoiceV2 behind the screens, which will bring cool new features soon. To avoid confusion, we refer to the existing invoicing as “invoiceV1” or the “classic workflow.”

InvoiceV1 was built with legacy technology. We’ve completely rebuilt all the screens for making and editing invoices to make them more intuitive and up to date.

The invoice detail screen also now allows in-page editing.

Overview of available merge fields

Agencies can generate different types of documents from templates maintained in Microsoft Word, like itineraries, contracts, and emails.

In these documents, you can use merge fields to insert information from SystemOne.

We’ve added new overviews with available merge fields in the template settings to make it even easier for users who are building their own documents in Word.

New system config setting: Hide tickets

Keeping track of show ticket prices isn’t useful for everyone. We’ve added a new setting in the show section of the system configuration page that enables you to hide this feature.

Search by OGM Code

Relevant to our Belgian clients! We’ve improved the invoice search so you can use the keyword filter to find invoices by OGM code.

Bug fixes

We’ve solved a number of issues:

• Remembering your dark/light theme setting for your browser didn’t work reliably. We’ve fixed it to make sure your SystemOne account stays in Lumen/Eclipse as you last set it.
• Batch updates for adding tags for companies, contacts, and shows weren’t working as expected in some situations. This is no longer an issue.

We’ve improved the section where you can configure bank accounts with some useful additions:

Linked bookkeepings panel

This panel in the detail view has been improved so it's clearer which bookkeepings you can use the bank account for.

Activity panel

With this new panel in the detail view, we track the history of a particular bank account. You can see what was changed, when, and by whom.

Search in overview

The bank account list view has been rebuilt with a keyword filter, which is very helpful for agencies that need to keep track of many bookkeeping items and bank accounts.

As part of our larger refactoring project, we’ve redesigned the user admin screens for both internal and external users. We implemented a lot of small improvements to make user admin more user-friendly:

In-page editing

You can change a user's details directly on the page, without switching between edit screens.

Add a new user

When you create a new user account, you can immediately configure different permissions. Besides being a faster workflow, it also avoids the risk of forgetting to configure this later.

Activity panel

In the user detail view, you find this new panel that shows the changes made to a user account's settings.

Access to artist data panel

A new layout of the panel makes this feature easier to use and understand. Internal user accounts now have an “Allow access to all artists” button.

Access to bookkeepings panel

We’ve improved the interface layout for agencies that work with a large number of bookkeepings.

Bookkeeping address configuration

We’ve made some small but important changes to the bookkeeping data structure as part of the upcoming InvoiceV2 project.

Before, you could define an address as free text in the bookkeeping configuration page. We’ve removed that free text field. Address information now comes directly from the linked company.

We’ve done our best to avoid compatibility issues, but we recommend checking your outgoing invoices to ensure the sender details are still correct.

Free field configuration rebuild

Artist booking agencies can extend the data model of shows and productions with custom data fields, which we call free fields in SystemOne.

In the free field configuration, you can add various data types such as text, numbers, URLs, and email addresses.

We’ve rebuilt the configuration section using updated technology and improved its design to make managing free fields more intuitive and user-friendly.

SystemOne enables you to create templates for the emails you frequently send for shows, companies, and more—a helpful time-saver!

Previously, each email template could be set to only one language. We’ve now improved this so you can include multiple translations within a single template.

This makes it easier to keep your templates organized, especially if your agency communicates in several languages.

We've made some changes to the personal message templates that you can find in template settings. This feature is used to customize the invitation emails for advancing and eSign.

• Renaming: personal message templates are now called invitation templates.
• Basic templates: we’ve introduced elementary, read-only templates with multiple translations that can be used in most booking agency scenarios. Basic templates are available to all SystemOne customers and you can copy and customize them to create your own version.
• Set preferred template: When you have multiple customized templates, you can set one as a preferred template to use it automatically, for instance, when you create a new eSign document.‍
• eSign signatory UX improvement: eSign invitation templates are now separated into two sections for greater clarity: signer and viewer.

Approve external input

Shows (and companies and contacts) that came in through the booking request form or that were created by external users, need to be validated/approved by an internal user.

With the latest improvement, we’ve made it easier to quickly approve shows, companies, and contacts with approve buttons in the preview panel and detail views.

Configure project code visibility

We’ve frequently received questions about the internal code field on the show detail page. This code is intended for internal show or tour tracking, but not every agency has a need to keep track of this information.

We’ve renamed the field to project code for more clarity about its purpose.

You can now toggle this field on or off in system settings > system configuration.

By default, we’ve turned off the project code for all accounts that haven’t been using the field up until now.

eSign signatory UX improvements

Every eSign document has 2 signatories: a signer and a sender. Previously, these signatories were combined in one panel in the eSign detail view. 

Now, the sender and the signer have their own panel, which creates more clarity. The improved panels also feature in-page editing, making it easier to modify drafts.

We updated the productions detail page and removed the edit button in the options panel on the right side. Now, instead of taking you to another page to make edits, you can do in-page editing.

This is part of a bigger set of updates we’re making to enable in-page editing on all relevant views, so it’s easier for you to make changes and save them on the fly without navigating away from the detail page view.

Shows editing

Editing in the shows section opens a preview panel on the right side of the view, where you can also do in-page editing to quickly update any show in your production.

Your show’s detail page is just a button-click away, which will take you to the planning view with all the details of your show—including advancing and more edit options.

Activity panel

Another nifty update we’re implementing alongside in-page editing, is showing the activity log in a panel on the right-side of the view. It enables you to see who made changes to the page and when, so you can stay in control.

Our team worked on a bunch of quality-of-life updates that make it easier and smoother for you to navigate SystemOne and edit various fields.

Make copy and paste easier while using in-page editing

Previously, if you dragged and selected text, the in-page edit mode would open. This wasn’t intuitive enough for copy-pasting the information inside the field.

Now, you can drag and select text, or click once to enter in-page edit mode.

Contact single picker should have a link to open the preview panel

When you click on the contacts associated with an artist, the side panel opens for in-page editing.

Now, contacts associated with the venue and promoter can also be edited just like the artists' contacts in the side panel in-page editor.

Set a negative amount in product templates

You can set up your product templates in settings > finances > product templates. Previously, it wasn’t possible to add a negative amount (a credit) to a product template, but now you can do so when editing a saved product template.

You’ll now see new activity panels in the right column of the company and contact detail pages.

These panels show recent changes to the item, making it easier for you and your team to stay aligned and collaborate more effectively.

As part of our ongoing improvements, we're bringing up-to-date UI/UX principles to SystemOne — including in-page editing. You can update information right where you're viewing it, which is more intuitive and saves you clicks (and time).

In-page editing is now available on the company and contact detail views.

We’ve enriched preview panels with in-page editing, so you don’t even need to leave the page to change the details of associated companies & contacts.

We've added a new screen to help you quickly create a contact person. It comes with some smart features—like automatically setting the language based on the selected region.

Clean up duplicates in your address book using the merge feature. We've redesigned merge for the company and contacts views, making it simpler and easier to use.

We often get feature requests for customizing the email subject in the advancing and eSign invitations.

We’ve added this feature to the personal messages template configuration, so you can fully customize your invitation email template. You can access your personal messages templates by navigating to Settings > Template settings > Personal messages and selecting eSign contracts or advancing.

You can then use one of your personal message templates when you customize your eSign invitation under the signatories section in the contracts detail view.

Notice the new merge fields in the subject line. These are auto-filled when your email is sent from SystemOne.

Your agency or artists can embed your SystemOne booking request form on their website. These requests show up directly in SystemOne, where you can attend to them. We've updated the page where you review incoming requests—it’s now easier to read and faster to work with.

You can access the booking request approval page in three ways:

1. Clicking on the notification bell at the top of your screen.
2. Scrolling down to the booking requests section on your dashboard.
3. Opening the new calendar item in the planning view.

We’ve modernized the list view where you can download your invoices in monthly exports. 

The interface for configuring mapping values is more user-friendly.

As part of the major design overhaul last year, we introduced preview panels. These panels open on the right side of the screen when you click on a show, flight, or ground transport in the month view.

Our next step is to implement in-page editing in these panels. This will enable you to make changes without leaving the page you’re on.

In phase 1 of this feature development, we’ve implemented the possibility to modify the show date, status, and title.

More in-page possibilities will be added soon!

A big part of the code around the exclusivity check has been improved to make this feature run more smoothly.

The show preview panel now also includes info about exclusivity conflicts.

Users with access to system settings can now navigate to their agency’s subscription page. We’ve also added more information about your running and upcoming SystemOne subscription pricing.

Previously, eSign reminder emails were only available in English. These are now also available in Portuguese for our BR & PT users.

We’ll be adding more languages in the near future!

If a show has a production, the production free fields will be displayed in the mobile app (if the user has permission to access the free fields).

This is helpful for touring artists and managers who may need access to production info while traveling.

We made updates to fix a few bugs that came up after our software overhaul. Check them out:

• Navigating to the task manager from the dashboard now automatically selects the correct user.
• Opening the task manager from the personal settings defaults to your own user account.
• Internal users with limited access to artists must select an artist first when creating a show.

The main menu has moved from the top of the screen to the left side. This was done during the recent interface redesign.

One of the questions we heard was: "Can I fold the left sidebar to create more room on my screen for my month view?"

Our old branding made us recognizable to our users, but got stale and outdated. We felt ready for a new brand with a sleeker look and bold colors that are more in line with the music industry today.

Our new logo was inspired by the idea of sound waves travelling through the air. The full circles represent openness and connecting with others.
